Board Minutes 2022- 10 – 26

WEDNESDAY, October 26, 2022

 

ABSENT: Joel Sisitsky; Larry Schulman, John Cole, Lori Schindelman

 

The meeting was called to order by President Beryl Cole at 1PM. Judy Gelpey read the minutes from the September 21st Board Meeting. Minutes had been taken by Ina Getzoff in Judy’s absence. Dennis motioned to approve – all approved.

 

TREASURER’S REPORT: Since treasurer Larry Schulman was unable to attend the meeting, there was no treasurer’s report. 

 

COMMITTEE REPORTS:

 

MEMBERSHIP VP –  Joel Sisitsky:

Joel was not present at this meeting. President Beryl Cole reported that Joel reported that there are currently:

129 Individual Annual Members

49 Individual Life Members

20 Family Life Members

56 Family Annual Members

(76 families/2 is 38 added to the individual memberships)

Therefore, currently our membership is at 292

 

EDUCATION & POLICIES AND PROCEDUREs VP –  ERIC SHARENOW:

Eric reported that a workshop will be held most likely in mid-November to discuss photo editing (tagging) to make it easier to identify photos.

 

Eric would like assistance in updating the Policies & Procedures manual. Marilyn Lane, Mona Morris and Ina Getzoff volunteered. Beryl asked that when a policy is added or a change made to an existing policy that the date be noted. Barbara Nowak recommended key words be used for indexing, that the document should have indexed sections. Mona suggested a Zoom to assist Eric.

 

 

PROGRAMMING – Allan Huss:

Allan announced that the fall edition of Scattered Seeds was emailed a few days ago to the membership. The winter issue will be sent in early January.

 

Barbara suggested sending it to other genealogical societies and to ask for theirs and she will put them in the library. Dennis agreed as he feels it will help us in getting program ideas. It will have to be sent via Dropbox because of the size. Many groups distribute their newsletters to IAJGS, JewishGen and ConferenceKeeper.org which is the most complete calendar of Genealogy events on the Web.

 

Allan would like assistance in planning programs and will have a Zoom meeting on October 28th. Volunteers included Cindy, Dennis and Mona. Eric said that so far he is very impressed with the speakers we have had.

 

MEDIA PUBLICITY – Walter Rosenthal:

Walter reported that the November meeting notice has been sent out. In October, the first ads appeared in five communities: Century Village, Coral Lakes, Huntington Lakes, Rainberry Bay and Majestic Isles. These ads will run through March and he will track results.

 

Dennis asked that new member registration forms include the community where the members live and their interests.

 

The October meeting had 9 paid guests but Glenn and Eric feel that only 4 of those showed up at the meeting.

 

INTERNAL PUBLICITY – Marilyn Lane:

Marilyn has had health problems and feels that after her surgery in November, she will be able to resume her position.

 

LIBRARY – Barbara Nowak & Cindy Potter Taylor:

Barbara reported that the laptop was bought and the software needs to be uploaded.  An external DVD drive will be needed. Eric asked about the security. Barbara said it is kept in a locked cabinet.  She also indicated that an inventory still needs to be done and library hours will be by appointment initially. Ina said she received some books from Helene Kenevin who is moving away. Barbara suggested that Ina bring the books to the next Board meeting. There are also flash drives available from past IAJGS conferences.

 

RECEPTION – Glenn Segal:

Glenn reported that 57 people attended the October meeting – 15 in person and 42 by Zoom. Barbara Nowak suggested that only two people need to be assigned to admit people to Zoom. It was brought up that JewishGen.org has online seminars on Wednesdays and they conflict with our meetings. Beryl will contact them to see if they can change the day or time.

 

IT TECHNOLOGY – John Cole      

Mona asked if the Excel spreadsheet of members can be updated monthly and emails added for each member.

 

OLD BUSINESS:

Indian Spring – Beryl has repeatedly called and emailed the Events Manager and has received no reply. Dennis said he will try to call the office he and Eric can even visit the clubhouse. He will report back to the Board at the next meeting. The suggestion is for an early March reception from about 1:00-3:00 pm for wine and cheese. It would be a thank you reception to recognize our members.                                   

 

INDEMNIFICATION INSURANCE:

Beryl sent a notice to other Jewish Genealogical Groups asking how they handle the insurance and recommendations of companies. Andy Wakshul was referred to the Insurance Office of America (IOA) which provides insurance to Non-profits. It can be bought for $375 per year but it was suggested that we get three quotes and make a decision at the next Board meeting. Apparently, policies are not available to review until a commitment has been made.

 

NEW BUSINESS:

A volunteer is needed for the registration table at meetings to assist Glenn since Joel has moved away.

 

There is a candidate, an Accountant, who may be willing to serve as Treasurer. Larry and Dennis will interview him or her in December.

 

Beryl received an email from IAJGS board member Marlis Humphrey asking for suggestions for genealogical websites for fifth to seventh graders. Ina will follow up with Marlis. Dennis said to just Google for information.

 

The JGSPBC banner was tweaked by John Cole. A motion was presented but since many have not yet seen it, it was suggested that everyone have a look and just vote yay or nay, no motion needed.                                        

 

Dennis moved for adjournment and the meeting was adjourned at 2:01 PM. The next monthly meeting is on Wednesday, November 9, 2022 and the next Board meeting is on Wednesday, November 30,  2022.
